Projects

A project is the container for one production: its files, synced show data, tasks, calendar, team, and public page. This page walks through the dashboard and every project tab.

Projects (sidebar, or the logo) shows a card grid of every project you’re a member of — cover image, name, and metadata. There’s a search box, and a Show archived toggle that reveals archived projects with a Restore button on each card.

Creating a project: click New project, give it a name (description, production type, and event date are optional — you can fill them in later in Settings). You become the project’s owner.

Every member has one of three roles:

RoleCan
OwnerEverything — settings, team management, delete/archive
EditorUpload files, edit tasks/calendar/shows, comment
ViewerRead and comment

The project’s home page. A header band (with the cover image, if set) shows name, description, status, production type, event date, file and member counts, and a stacked avatar strip linking to the Team tab.

Below that:

  • Helm Cues panel — appears once a paired Cues app has synced. Shows the synced show name, frame rate, track count, clips, uploaded-media stats, team/roles from the desktop, and the sync version + who pushed it. If media referenced in the show hasn’t been uploaded yet, a “local only” warning counts it.
  • Shows / Setlists panel — build ordered setlists from the synced tracks; see Tracks & shows.
  • Project content browser — tabbed by category: Tracks / Sequences, Audio, Video, Images, Documents, each with a count. Track rows open the track page; media tiles open the file viewer. Files referenced in the Cues show but not yet uploaded appear as greyed “Local only” ghost tiles with their desktop paths listed.
  • Activity panel — the latest comments across the project’s files, linking straight to the file they were left on.

The Assets tab is the full file manager:

  • Upload by drag-and-drop anywhere on the page or via the file picker — uploads go straight to storage with a progress bar, no size juggling in between.
  • Folders — create, rename, delete; a tree sidebar plus breadcrumbs for navigation. Drag files onto folders (or multi-select and use bulk move) to reorganise.
  • Folder permissions — per-folder grants for users or groups (view / edit / share / deny), so a “Client deliverables” folder can be wider than a “Working files” one.
  • File viewer — click any file: video and images open in annotatable viewers, audio opens a waveform player, PDFs render inline, anything else offers a download. Timestamped comments on media appear in the project activity feed.

If a paired Helm Cues app is syncing, it uploads the show’s media and mirrors its folder structure here automatically — the Assets tab shows the same organisation the user sees on the desktop.

A lightweight production checklist, grouped into colour-coded areas (e.g. Lighting, Video, Logistics):

  • Add areas with + New area (pick a colour), then add tasks inline within each area.
  • Each task has a checkbox, an editable title, a doing pill for in-progress, an assignee picker (project members), and an optional due date/time.
  • Progress bars per area and overall (done/total) sit in the header.
  • Tasks with due dates also show up as chips on the Calendar, and the per-area progress can be published to the public page as a progress block — names and counts only, never task detail.

Viewers see the tracker read-only.

Month grid (weeks start Monday) and a list view:

  • + Event (or double-click a day) opens the editor: title, type (Show, Rehearsal, Load-in, Load-out, Meeting, Deadline, Travel, Other — each colour-coded), all-day or timed, location, notes, and an optional link to one of the project’s setlists.
  • Day cells show up to three event chips (then “+n more”) plus read-only chips for any tasks due that day, linking back to the Tasks tab.
  • Members list — avatar, name, email, role. Owners can change roles inline or remove members.
  • Invite member — enter an email and pick Editor or Viewer. The invitee joins with that role when they sign in.
  • Groups — named sets of members (e.g. “Lighting team”) used as targets for folder permission grants. System groups (Everyone, Owners) maintain themselves; custom groups are created and managed here.

Owner territory:

  • Project details — name, description, production type, event date.
  • Cover image — pick any image already uploaded to the project, then tune the header band: height, focal point, cover/contain fit, with a live preview.
  • Public page — enable/disable, title, description, coarse section toggles, password, and which folders are publicly visible; the full block editor lives in the page builder.
  • Danger zoneArchive (hides from the dashboard, restorable) or Delete forever (type the project name to confirm; removes files, comments, and sync history permanently).
